Extended Abstract Submission & Presenter Guidelines

Extended Abstract

The submitted short abstracts are intended for committee review and not publicly available (released). Extended abstracts (4-6 pages) are included as part of the conference proceedings published the week of the conference when they are made available to all attendees.

One of the important commitments of the Meeting is that authors provide an extended abstract of four (4) to six (6) pages for inclusion in the conference Proceedings no later than Friday, February 10, 2023. Please contact ASPE at wshearon@aspe.net if you cannot meet this deadline. Be sure to take into account your organization’s internal approval procedures when submitting your extended abstract. You can find the abstract template along with other information on how to prepare and submit your extended abstract below.

PAPER SUBMISSION
Please submit your abstract as an Adobe Acrobat PDF file.

  1. Before submitting your PDF abstract, ensure that all symbols were converted appropriately from your word processing software into the PDF file.
  2. Before submitting your PDF abstract ensure that the PDF file contains all the required formatting outlined in the template. Please do not include page numbers, headers, footers or footnotes.

PROTECTED DOCUMENTS
It is very important that you not send abstracts that are password protected or otherwise secured. ASPE must have access to the abstract to be able to include it in the Proceedings.

EXTENDED ABSTRACT SUBMISSION
Extended abstracts are due Friday, February 10, 2023 (contact ASPE at wshearon@aspe.net if you cannot meet this deadline) and must be submitted in PDF format to executive@aspe.net. If you prefer to share a link to your extended abstract, please send the link to the the same e-mail address. Please include your Abstract ID number in the name of your PDF file and in the subject of the e-mail. The abstract ID number was noted in the author’s acceptance e-mail.

Presenters’ Guidelines

Important Logistical Information

  • The session room will be equipped with a LCD projector, a projector screen, a stage, a lectern, laptop, a timer, a slide advancer and lavalier microphone. The aspect ration is 16:9.
  • Speakers should plan to upload their presentations ahead-of-time by meeting the AV Technician in the Canyon Room between 7:30 AM – 8:30 AM on Monday, March 6.
  • A technician will be on-hand in the room to assist with technical issues throughout the workshop
  • Use the provided laser pointer. Your slide advancer will include a laser pointer. Feel free to use this to point out specific items to the audience.

Multimedia presentations with video or animation are welcomed. However, be prepared to offer an alternative if when tested the video/animation content does not work; especially when the content has significant impact on the goals of the presentation. We strongly suggest you project your presentation on a large screen prior to your arrival at the conference. Speakers should plan to upload their presentations ahead-of-time by meeting the AV Technician in the Canyon Room between 7:30 AM – 8:30 AM on Monday, March 6.

Presentations at the Meeting are typically followed by questions. Please make sure to time your talk to allow for questions as this provides you with feedback and an opportunity for dialog with the audience. Speakers should consult their acceptance e-mail for the length of time for their oral presentations and Q&A Session.

Making the Microsoft PowerPoint Slides
PowerPoint embeds image files directly into the file when you save them, while video files are not embedded. Only a link is made to the video file. Copy the video clips you want to insert into the same folder as the PowerPoint file. This will eliminate the problem of PowerPoint losing the link to the file. Be certain to bring the video files and the PowerPoint files to the conference.

Fonts

  • Arial and Helvetica are recommended for clarity and compatibility.
  • Confirm a font size of AT LEAST 24 points for body text and 36 – 40 points for headings.
  • Dark colored text on a light background is advised.
  • Avoid using red or bright green. Confirm that the maximum number of lines in text slides is no
  • more than 6 or 7.

Images

  • Large images (i.e. 2000 x 1500 pixels) which are created with digital cameras and scanners will make the resulting PowerPoint file very large. This may cause the presentation to load slowly. This can be avoided by inserting images with the following properties:
    Format = (.jpg)
    Recommended Size = (800×600 pixels)
    Compression Setting = 8 (High quality)
  • Use the “Insert” feature of PowerPoint to add images to your presentations. Do not copy/paste them into the slide or click and drag
